I want to be able to keep entire conversations together when I move messages from my inbox to a folder I have created for a particular project. This includes my replies that seem to remain in the Sent Items folder. Is there some way to set outlook up that automatically moves my replies from the sent items folder with the original message?

Hello Andrew,

Thank you for your question. The following solution might work:

If you are on Exchange Server, conversations can’t be automatically moved outside the Exchange store unless Outlook is in Cached Exchange Mode.

To fix this issue, you need to configure Outlook to use Cached Exchange mode. To do this, follow these steps:

1.On the File tab, click Info, click Account Settings, and then click Account Settings.
2.On the E-mail tab, choose your Exchange account, and then click Change.
3.Click to select the Use Cached Exchange Mode check box, and then click Next.
4.Click OK to the following message:

"The operation you selected will not complete until you quit and restart Microsoft Outlook."

5.Click Finish.
6.Exit and then restart Outlook.

If you cannot use Cached Exchange mode, specify a folder in your Exchange mailbox.

To move messages that are related to a specific conversation, right-click a message, point to Move, and then click Always Move Messages in This Conversation. In the Always Move Conversation dialog box, choose the folder to which you want to move the conversation, and then click OK.

Dear Marius,

Thank you for your reply. However, this still doesn't move the replies from the sent items folder.

Just to clarify, I am adding new folders as sub-folders on the mail server (i.e. without interfering with the caching mode of Exchange) and was wondering if there is a convenient way of having replies to messages that are in the sent items folder move at the same time as I move the original messages to a sub-folder?

Hi Andrew,

Perhaps the following method could help:

1.Go to File - Options - Mail, then scroll down to "Save messages".
2. Uncheck the "Save copies of messages in the Sent Items Folder" box.
This will stop Outlook from placing sent messages in the sent folder.
3. Create a rule which places a copy of each sent message in the Inbox:
Rules - New Rule - Apply rule on messages I send - Next - Next - Yes - Move or copy to the specified folder - click "Specified", select Inbox - Next - Finish.

Hopefully sent and received messages will now show in the Inbox. I have not tried this myself so I don't know if messages will actually be kept together.

If this does not work, I shall ask one of my colleagues.
