Training manual sample

Below are some extracts from our Power Automate manuals.

Dynamic Content & Expressions

Dynamic content in Power Automate refers to the data that flows through your automation processes. This data can come from various sources, such as triggers or actions, and can be used to customize and personalize your workflows. For example, if you have a flow that triggers when a new item is added to a SharePoint list, the details of that item become dynamic content. Expressions allow you to manipulate and transform data. Example: formatDateTime(triggerOutputs()?['body/Created'], 'MMMM dd, yyyy'). Example: if(greater(triggerOutputs()?['body/OrderAmount'], 100), 'Apply Discount’, 'No Discount'). Practical uses include email notifications, data transformation, and conditional actions.

Functions & Expressions

Functions in Power Automate are predefined operations that you can use to manipulate data, perform calculations, and evaluate conditions within your flows. They are essential for creating more complex and dynamic workflows.

Common Functions

String Functions: These functions help you manipulate text strings. Examples include concat (to concatenate strings), substring (to extract a part of a string), and replace (to replace a part of a string with another string).

Date and Time Functions: These functions allow you to work with dates and times. Examples include formatDateTime (to format a date/time value), addDays (to add a specified number of days to a date), and utcNow (to get the current date and time in UTC).

Logical Functions: These functions help you perform logical operations. Examples include if (to return a value based on a condition), and (to check if multiple conditions are true), and or (to check if at least one condition is true).

Mathematical Functions: These functions allow you to perform mathematical calculations. Examples include add (to add two numbers), div (to divide one number by another), and mod (to get the remainder of a division).

Variables, Conditions & Loops

Variables in Power Automate store and manage values throughout your flows. Use 'Initialize variable' to set name, type, and initial value. Set variable updates values, while increment or decrement adjusts numeric values. Array variables allow appending items. Conditions let you control flow behaviour based on criteria. Loops repeat actions, such as using “Get items” followed by “Apply to each” to process a list. Practical uses include storing intermediate results and executing conditional actions.

Adaptive Cards in Workflows

Adaptive Cards present information using JSON across platforms like Teams and Outlook. Create cards using the Adaptive Card Designer, adding text blocks, images, and actions. Example JSON contains a title text block and an image. Use Power Automate to post cards to Teams channels and wait for responses. Adaptive Cards support approval workflows, notifications, and data collection, making flows interactive and user-friendly.

Using Microsoft Graph API

Microsoft Graph API provides a unified endpoint for accessing Microsoft 365 data. Register an Azure AD app to obtain credentials. Use OAuth 2.0 authentication to obtain an access token. Make API calls with the HTTP action. Example: GET https://graph.microsoft.com/v1.0/users with appropriate headers. Process responses using Parse JSON. Another example is sending an email via POST to /me/sendMail with a JSON body. Graph API enables powerful automation across Microsoft 365 services.
