Below are some extracts from our Power Automate Advanced manual.
Power Automate is a cloud-based service from Microsoft that allows users to create automated workflows between apps and services to synchronize files, get notifications, collect data, and more. It helps automate repetitive tasks and streamline business processes.
Example: Imagine you receive a lot of emails with attachments that need to be saved to a specific SharePoint folder. With Power Automate, you can create a flow that automatically saves these attachments to the designated folder whenever an email arrives.
You can access Power Automate through the web or desktop applications. Here’s how you can get started:
Sign Up: If you don't have an account, you can sign up for free using any email address. If your organization uses Microsoft 365 or Dynamics 365, you might already have access.
Sign In: Go to the Power Automate website and sign in with your Microsoft account.
Navigation: Once signed in, you can use the left navigation pane to access different features like creating flows, viewing templates, and managing your flows.
Power Automate offers a variety of templates to help you get started quickly. These templates are pre-built flows that you can customize to fit your needs.
Example: Suppose you want to receive a notification every time you get an email from your manager. You can use a template designed for this purpose.
Sign in to Power Automate.
Go to the 'Templates' section.
Search for a template like 'Send a notification when I receive an email from my manager.'
Select the template and follow the prompts to connect your email account and customize the flow.
Creating a flow from scratch allows you to fully customize your automation to meet specific needs.
Identify the Process: Clearly define the process you want to automate.
Map Out Steps: Outline each step of the process and how they connect.
Determine Inputs and Outputs: Identify what data will be used and what the expected outcomes are.
Choose Relevant Connectors: Select connectors that will interact with the services you need, such as SharePoint, Outlook, or third-party apps like Salesforce.
Approval flows in Power Automate are used to automate the process of getting approvals for various tasks, such as document sign-offs, vacation requests, or expense reports.
Create a New Flow and select an Automated cloud flow.
Add the Start and wait for an approval action and configure approval details such as approvers and response options.
