Hi Anthony please could I have some more help on assigning a graphical RAG status to a task. Plus more info on how to edit bars. Plus more info around conditional formatting. Many thanks

Hello Nicola,

Thank you for your question regarding RAG status, editing bars and conditional formatting in MS Project.

1) Let's start with RAG status. First of all you need to create a custom field which is done from the Project ribbon in the Properties group. Using a number field you then click the Formula button and insert a formula such as the following example:

IIf([Cost]<>0,IIf([Cost]<[Baseline Cost]*1.2,IIf([Cost]<[Baseline Cost]*1.1,10,20),30),0)

Click the Graphical Indicators button and in the tests area use Equal to 10 and choose a green icon
use Equal to 20 and choose an amber icon
use Equal to 30 and choose a red icon

Click OK

In the Gantt Chart view, change the table to cost, then insert a new column and select the custom field which you have just created using the above formula.

This will reflect items which are overbudget.

2) To edit bars, right-click the Gantt Chart area and select Bar Styles. Make wahtever changes you would like and click OK.

3) There is no conditional formatting options in MS Project.

Hi Anthony I'm struggling with doing this I need to have the RAG status for % Complete - I have created Customized Fields and the Graphical Indicators but am stuck then on applying this to a column - your help would be greatly appreciated.

MS Project tip:

Keep constraining dates to a minimum

As far as possible avoid fixing the dates of your tasks. For example try to steer of clear dragging task bars in the Gantt chart to move them on the timeline or entering dates directly into the Start / Finish fields.

Date constraints such as these limit Microsoft Project's ability to automatically adjust your project whenever you add, remove or modify the duration of your tasks. Instead use the logic in your task dependencies that link your tasks to enable Project to calculate the start and finish dates for you.
