Lock for Editing

Hello,
How do I lock a PPT or word file for editing so that any changes made by anyone else, must be save as a new file?

Hi Siobhan,

Thank you for the forum question.

To make sure that your files are "read only" you will need to click the file tab and click Save As. In the save as dialog box you will find a TOOLS drop down list. Click GENERAL OPTIONS and you can enter a password to open the file or to make the file a read only.

This is great, thank you!

I am actually looking for an option that would allow other users to edit but they would have to save as a new file rather than being able to change the original with a password. Is this something that's possible?

I was a little bit to fast with my answer.

You do not have this option with PPT, but if you do the same with Word you will see that you can add a password to modify the file and it is optional to make the file read only.

In word an user can modify the file but has to save it with a new name.

Hi Jens,

And is the only option for this in File>Info>Protect Document>Restrict Editing? Because every time I do that and set a password and then go to test, it won't let me make any changes until I enter the password and then it changes the original. I was hoping there would be a way to make changes but then have the changed document saved down as a separate file, is this possible?

If you use the Password to Modify in Save As>Tools>General Options, the user simply selects the Read-Only button when they open the file. They can then make changes but only save to a new file.

If someone has the password to modify the original document, they enter that on opening.
