Project 2010

How do I add a team rather than individuals to the resoucing?

RE: Project 2010

Hello Joanna,

When adding resources as a team as opposed to individuals, simply go to the Resource Sheet and enter the name you have chosen into the Resource Name column. In the Max. Units column you would normally enter a percentage / value for the number of members in the team. 500% would represent 5 team members.

When you assign the team to a task you must specify the percentage you are allocating to the task. I usually use the Assign Resources dialogue box for this. Select the Resource then enter the percentage into the Units column and press enter or click Assign. If the percentage is higher than the Max. Units % entered in the Resource sheet, then you will get a resource overallocation warning in the Indicators column.

For example, you have a task that requires only 4 of the 5 team members in Team A resource. Select the task and enter 400% into the Units column and press enter. Please be aware, that if you later edit the % to say 500% this will reduce the duration of the task EVEN IF THE TASK IS NOT EFFORT DRIVEN. If you do not want to reduce the duration first set the Task Type to Fixed Duration then increase the % value in the Units column.

Management Training tip:

Task List or To Do List

Don't confuse yourself with too many tasks on a to do list. The Task List is all the things that require attention, whether by you or others, now or later. The To Do list is your immediate daily plan, and is a subset of your Task List.

Keep your To Do list to no more than 5 major items.
