1. In Powerpoint I want to paste in a chart from excel which can be edited (i.e. is not a picture) but which is not linked to the excel source file. So when the graph changes in excel the graph does not change. Suprisingly when pasting as a "MS Graphics Object" the chart is still linked and if the graph data changes in Excel the Powerpoint graph also changes.

2. Could you suggest the best add-in's for Powerpoint / Excel for charting? For example, SSRS has guages etc which Powerpoint / Excel seems to lack.

Thank you for your questions.

Regarding the linking - when you paste the chart into PowerPoint look to the outside of the lower right corner of the chart. There will be an icon of a clipboard. If you click this icon the first two paste options embed the workbook (ie the Excel data is stored in the presentation but is not linked to your original file).

Once you have chosen this option close and save Excel.
Save PowerPoint.
Now you should find there is no link between them, even if you re-open and edit the original Excel file.

I don't have experience of other charting options but you may find sparklines (Insert Ribbon then Sparklines group > Line) interesting. We have an article on the subject here:

Thanks for the response Andrew.

Is there any other way to paste in a chart without links but still edit it? I ask as I did not want to embed the whole work book for every graph.


Re excel graph add in's Simon mentioned he may have a few suggestions?

Hi Vik

Thanks for getting back to me. Embed is the only option that I can think of.

To avoid lots of sheets being embedded into your presentation you could (in Excel) right click the tab that contains your source sheet and chart. Choose Move or Copy from the menu that appears. Tick create a copy and choose a new workbook as the destination.
When you click on OK you will have a one tab workbook along with your chart.

Copy and paste this chart into your presentation. PowerPoint will embed the workbook only now it will only be a one page workbook.

Checking for spelling errors in embedded or linked objects

The spellcheck in PowerPoint will only pick up errors in text typed directly onto PowerPoint slides - it will not pick up errors in any embedded or linked objects that have been brought into the presentation from another application.

To ensure the entire content of your presentation is error-free, use spellcheck in the application you are importing information from before embedding or linking objects into PowerPoint.
