Track Changes in MS Word

Hi there

A colleague is currently editing a document in MS Word. With track changes switched on, it shows the deletions that she makes but does not show any insertions or next text added. If we switch to the original with mark-ups it shows her insertions but not deletions.

How can we show both insertions and deletions in the same document that she is working on.

Hi Susan

Thanks for your question. With track changes turned on (Tools > Track changes) take a look at the reviewing toolbar. Set it to Final showing markup. If Word is still not showing both deletions and insertions click on the drop down labelled Show on the same toolbar and make sure insertions and deletions is selected.

Thanks Andrew for getting back to me so quickly on this. Unfortunately we tried this option earlier but still nothing shows.

Any ideas?

Hi Susan

The steps you have take sound right. Two other things to try/check.

At the bottom of the show menu is a link to options. Click on it and make sure that the edits you want to see have a format (i.e. not set to "none")

Secondly create a new file for testing (in case there's a problem with the document in question). Add a short sentence to it. Save it then turn on track changes and edit the file. Do you get different results? You might also want to try this on a second machine. I've just done this myself and with final showing markup Word shows deletions in a bubble in the margin and new text added in my editor colour.
