I wanted to know how I can set up my projects file to be read only when opened. Then an option to edit if required. Sometimes I am getting others opening a master schedule and saving edits when they don't need to, this creates multiple copies sometimes due to One drive not being able to sync files which are open in multiple places.

I want to be able to set up the file so that someone can open it and view it without accidentally making changes.

Hello Sakib,

Thank you for your question. There is a way to prevent changes from being saved in MS Project. When you save the file, in the 'Save As' dialogue box, there is a Tools button. Click this, then select 'General options'. Another box opens where you can create a password in the 'Write reservation password' field. You can also check 'Read-only recommended'.

When opening the file in future, Project will ask if the file should be opened as read only. If Yes is selected, it will open as Read-only. However, the user can still edit things, but these changes won't be saved. If No is selected, it will require the password.

It is perhaps not ideal, so if this is not a good solution for you, the file could be saved as PDF for viewing only.

Using the Quick Access Toolbar in Project 2010

The Quick Access Toolbar is included in virtually every Office product, including Project 2010 as well as Outlook 2010, Word 2010, Excel 2010, and PowerPoint 2010.

You will find the Quick Access Toolbar in the top-left side of the window. To begin, click the Customize button (it's the little black arrow at the end of the toolbar).

Simply click the commands you want to include.

Virtually any command can be added to the Quick Access Toolbar. Click the More Commands option and a new window will open from where you can browse the commands including those not on the ribbon.
