Hello,

We have a master project document which holds individual sub-projects which have deadlines, these are set by a constraint date. There are some projects which do not have deadlines and are set where the project tasks ends.

We need to order/sort these projects with the earliest deadline first and vise versa.

Hoping someone can help me out today as this is very urgent.

Hello Frances,

Thank you for your post. Apologies for the delayed response. I may have found a solution that uses a custom filter and some sorting. To create a custom filter, click View – Filter Drop-down – New Filter. The filter you create uses the following settings in the different rows:

Row 1: Field Name = Successors, Test = Equals (nothing in Value(s) column in 1st row)

Row 2: And/Or = And, Field Name = Active, Test = Equals, Value(s) = Yes

Row 3: And/Or = And, Field Name = Summary, Test = Equals, Value(s) = No

Row 4: And/Or = Or, Field Name = Constraint Type, Test = Equals, Value(s) = Must Finish On (or your chosen constraint, if different)

Please remember to name the filter.

This filter will show last tasks and/or tasks with must finish / no later than constraints.

You can run this filter in a master project with subprojects or in a single subproject. Once you have run the filter, you can sort the subprojects by finish date.

You can also make use of the Outline button in View to show different task levels (Summary / subtasks, etc.)

This worked for me in that my subprojects were then sorted in chronological order. The custom filter will also be embedded in your computer’s version of Project, which means you can reuse it. If you want to use it on a different computer, simply open the file containing the custom filter on another machine.

MS Project tip:

Keep constraining dates to a minimum

As far as possible avoid fixing the dates of your tasks. For example try to steer of clear dragging task bars in the Gantt chart to move them on the timeline or entering dates directly into the Start / Finish fields.

Date constraints such as these limit Microsoft Project's ability to automatically adjust your project whenever you add, remove or modify the duration of your tasks. Instead use the logic in your task dependencies that link your tasks to enable Project to calculate the start and finish dates for you.
