Dashboard permissions issue

We currently have a dashboard set up within pbi containing HR metrics (we'll call this DB1). I want to set up a second dashboard (DB2) which contains live information from specified pinned information from DB1 without these users being able to access DB1.

I've managed to create the dashboard and pin the entire report page from the required tabs on DB1 as a live page tile in DB2 and can view and filter as normal.

However, when sharing the dashboard with 2 individuals they note that they can see the title, subtitle and blue headers but no text or charts.

When looking into this it appears that they have Read access and the issue lies with their permissions with the semantic model. I am unsure what my next steps are as I don't want to give them any access to DB1 or the sensitive data within the semantic model.

Can you please advise?

RE: Dashboard permissions issue

Hi Alison,

Thankyou for your question to the forum.

To help you set up the second dashboard (DB2) with live information from DB1 without granting access to DB1, here's a general approach you can take:

Identify the Pinned Information: Determine which specific information from DB1 you want to pin and display on DB2.

Use a Data Integration Tool: Utilize a data integration tool or platform that allows you to pull live data from DB1 and display it on DB2. Some popular options include Microsoft Power BI, Tableau, or Looker. These tools can help you create live data connections between dashboards.

Set Up Data Access Control: Ensure that you set up proper data access control so that users of DB2 can only see the information that you allow them to see. In Power BI, for example, you can use row-level security (RLS) to restrict access to certain data.

I hope this helps with your query

RE: Dashboard permissions issue

Hi Martin

Thanks for your reply. I'd like to use Powerbi to share the live data. We refresh this monthly and there's other teams within the business who'd like live access each month to be able to see starters, leavers, headcount etc which we are happy with.

However on our main dashboard (DB1), there are tabs/pages which also include turnover and salary information which we wouldn't want to share with other individuals. We do use the RLS to allow certain levels of users to have access to specific role levels e.g. not the board or HR, but for this exercise we don't want these teams to see anything that is not on DB2.

I followed instructions to pin the relevant pages/tabs so they are showing on DB2 but when sharing this with the teams they can only see blank screens with headers. They have pro licences but I believe this is because they don't have access to DB1 or the workspace that DB1 is in which we don't want them to have.

Are you able to advise on how they can see only the information pinned on DB2 without having access to DB1 or the whole workspace or is this not possible?
