Reporting

I would like to produce a report with ONLY the following fields:-

Resource Name
Task name
Start date
Finish date
Notes (assigned to task)

To be sorted by Resource Name.

How do I do this?

Hi Marios

Custom reports depend on Project tables. So the first step is to create a table or customise an existing one so that it contains only the fields (or columns) of data that you want.

Next from the view > reports menu double click on custom then choose New and select Task report type.

Name your report and from the table drop down dialogue box choose the table you customised earlier on.

Finally go to the Sort tab. Here you will find that you can apply sort criteria to the fields in your table e.g. Resource Name

About 90% there but not quite working.

I cannot get the task name to appear as it does not show as a selectable field.

Can I email the .mpp to you to look at?

I think I can see what might be causing the problem. Project treats information about tasks and resources separately. So for example when you create a new table you have to choose whether it will hold task or resource information. The same applies to new reports.

So in your example file try switching to Gantt chart view. Then changing your table to the custom one you created, MM1. Add in the task name field. The go to custom reports (View > Reports then click on Custom Reports). Click on New and note that you can create four different kinds of reports (task, resource, monthly calendar or crosstab). As a test try creating a task type report and from the dialogue box that appears choose your table (MM1). The resulting report shows all your columns of data you listed in your original post. I think custom report MMReport is pointing to a table designed to store resource information which is why you aren't getting the data you want displayed.

MS Project tip:

Autofit column width – Project (all versions)

At the top of the columns where each column name is located (Task Name, Duration, etc.), hover over the vertical column line which you want to move.

A short bold vertical line will appear, with horizontal arrows pointing left and right.

Left click and hold this icon and it will permit you to grab the column line, allowing you to move it left or right to your desired location.
