Is it possible to use a form that has already been set up without the data content (e.g. to roll information forward for the following year)?

Hi Lita,

You can use an existing form, which it sounds like is to be fed with a different set of data, for example coming from a new query on the same or similar fields.

To do this, view the form file in the database window, and without opening the form right click and copy and paste (or copy and paste via the menu bar / ribbon if you prefer), and you will be prompted to name it.

You then open it in design view, double click in the top left hand corner (in the square at the corner) to bring up properties. Select the Data Tab. Click into the Record Source line, click on the drop down list and select the Query or Table that you want to have as the source data set and go to form view to check the result.

If any of the fields have changed you click on the fields affected and go properties, select Data Tab, then in Control Source, click the drop down and select the new field name to go in the text box conerned. To add an additional field just copy and paste an approriate looking existing text box and re-assign the Control Source in the way I just described. When you paste, the copy will normally go in the top left corner--just so you know where to find it, ---just drag this to where you want it.

Access tip:

Hide Access Tables

One method of stopping your Access tables appearing in Database window, is to rename the table(s) with the prefix usys.

This converts the table into a system object, which cannot be viewed in the Database window.

You can show system objects in the Database window by the following:

Step 1: On the Tools menu, click Options.
Step 2: Click the View tab.
Under Show, select the System Objects check box.
Click OK.
