Power BI data sources through multiple people
Hello,
I have a PBI file that contains data coming from several files. These files are saved on SharePoint and to set them up I sync the SP document library to my laptop and then connect to PBI through this synced file. So the path of the file contains my username, even though it is saved on SharePoint, because I need to be that link between SP and PBI.
I tried to share this link role with a colleague, so to have him sync the library to his laptop and load the data himself for some files - so some of the paths contain his name.
However PBI sent error messages because whether on my computer or his, since there are two different users that are this link, they don't recognise the other user, if that makes sense. So it looks like PBI will only allow one user to link data to it at a time. If a path to data is created that contains a different username to the one already being used, PBI rejects the attempt.
I was wondering if there was another way to do this, so all the paths don't just depend on me - or if it has to be all through one person. We're considering using a shared virtual machine to solve this. Any comments or ideas would be useful.

Using SharePoint Online Paths: Instead of syncing the SharePoint document library to your local machine, you can use the direct SharePoint Online paths in Power BI. This way, the paths won't contain any usernames and can be accessed by anyone with the appropriate permissions. You can connect to SharePoint Online files directly in Power BI by using the "SharePoint Folder" connector.
Parameterize File Paths: You can create parameters in Power BI for the file paths. This way, you can easily switch between different paths without hardcoding them. Each user can set their parameter values to their respective paths.
Shared Virtual Machine: As you mentioned, using a shared virtual machine can be a good solution. This way, the file paths will be consistent regardless of who is accessing them, as the VM will have a single user profile.
Power BI Dataflows: Consider using Power BI Dataflows to centralize your data preparation. Dataflows allow you to create reusable data transformation logic that can be shared across multiple Power BI reports and users. This way, the data extraction and transformation are done centrally, and users can connect to the dataflow instead of individual files.
OneDrive for Business: If your organization uses OneDrive for Business, you can save the files there and use the OneDrive paths in Power BI. OneDrive for Business paths are user-independent and can be accessed by anyone with the appropriate permissions.
