Word templates

Can a template be changed (eg header and footer, not styles) and automatically update all documents that originated from that template?

RE: Word templates

Hello Nina,

Thank you for your question. When you make changes to a template, only documents created afterwards will show the changes. This is because documents created from templates are not linked to those templates and so they don't automatically show changes made to the template afterwards.

You would have to go and apply the new template manually to the old documents as follows:

1. Display the Developer tab of the ribbon and then click on the Document Template tool. Word displays the Templates and Add-Ins dialog box.
2.Click on the Attach button. Word displays the Attach Template dialog box, which looks very much like a standard Open dialog box.
3. Use the controls in the dialog box to locate and select the template you want attached to your document.
4. Click on Open. The Attach Template dialog box disappears and the name of the template you selected appears in the Document Template box.
5. Select the "Automatically Update Document Styles" check box to make sure that the styles in the template are applied to your document.
(Keep the styles the same if you don't want to change the documents' styles)
6. Click on OK.

If you don't see the Developer tab necessary for step 1, then you need to make the tab visible. You do that by clicking the Office button and then clicking the Word Options button. In the resulting Word Options dialog box, the Popular option should be selected at the left. Make sure the Show Developer Tab in Ribbon check box is selected and click OK.

I hope this answers your question.

RE: Word templates

Hi Marius,

Does this mean that things such as headers and footers, images etc would be updated using this method, not just font styles and formatting etc?

Thank you

Nina

RE: Word templates

Hi Nina,

Whereas my previous response works with styles, if you only want to apply header or footers to existing or new documents, you could also use Quick Parts. This works as follows:

1. Create your custom header and/or footer in a new document.
2. Highlight the entire header, then click Insert - Quick Parts.
3. In the drop-down, select Save Selection to Quick Parts Gallery.
4. In the dialogue box, give your Quick Part a name, then choose Headers from the Gallery drop-down and click OK.

Repeat this process for footers.

Now you can apply your custom header and/or footer from the Quick Parts gallery.

Click Quick Parts, then click Building Blocks Organizer. Find your header/footer in the list and apply this to your document.

This is an easy way to apply custom headers and footers to new or existing documents.

Kind regards
Marius

Word tip:

Change text immediately from upper case to lower case or vice versa in Word 2010

You don't ave to re-type all the text out again in Word 2010 if you decide you want to change the case of the text. Here's a really quick way of doing it without typing it all out again.

First, select the selection of text you want to change. Then, just press the Shift + F3 keys and keep pressing until the text looks the way you want.
