Please can you tell me how do I create, use and edit reference field codes in a Word document.

Hi Jaqui

Thanks for your question on the Ref function. You said you've used this before so I hope this brings back memories!

There are 2 parts to using the REF fiels the way I think you want:
1 Create Bookmarks
2 Use REF fields to refer to the Bookmarks.

Suppose you have some constant values that appear throughout a document. For example a company name, department, region etc.

1. Place these values on a page at the start or end of the document and create each value as a Bookmark.

Reference Values

Company: Best STL
Department: Training
Region: South East

To create the bookmarks select the value (eg Best STL)
Click Insert, Bookmark
Type the bookmark name such as Company
Click the Add button

(Then repeat for Department and Region)

2. now in the main document use the REF field whenever you want to refer to one of the values. For example:

Department Report for Best STL
Department: Training
This has been the busiest year for the South East region.

To create the REF field for the company
position your cursor after 'Department Report for '
Select Insert, Quick Parts, Field
From the Links and References category
Choose Ref
Now click on the Bookmark you want to refer to and press Ok. (eg Company)

Continue to add REF fields whenever you want to refer to a bookmark.
(They can be copied and pasted too)

Finally if you change the values on the first page then all the REF fields will update automatically after pressing
Ctrl+a then the F9 function key.

Tip with updating
One of the problems you will find is that when changing a value it is very easy to delete the bookmark!

The deleting can be avoided by not deleting the first character till after typing the new value.

It can help is to add Bookmark brackets then type inside the brackets.
To add Bookmark brackets select
File, Options, Advanced, Show bookmarks (Show document content)

Hope that helps! You'll see there are a few more option like adding a hyperlink on the Ref function or formatting to capitalize the first letter.
