Sum Visible Cells only

Sometimes when you have filtered on a spreadsheet you would then like to sum just the numbers left on the screen - If you highlight the numbers then the correct total appears in the sum box on the bottom of the screen but if you do a sum formulea on the spreadsheet itself it also adds the numbers that have been filtered as well - Basically I need a formulea that says sum visable cells only.

RE: Sum Visible Cells only

Hello Sharon,

Hope you enjoyed your Microsoft Excel courses with Best STL.

Thank you for your question regarding summing visible cells only.

There are 2 ways you can do this.

1) Format the data as a table. Home ribbon > Styles > Format as Table. Then add the total row and whenever you filter the data the resulting totals will only be shown for the visible cells.

2) Should you not wish to work with the data formatted as a table then, apply a filter first, add the totals you require in the row of blank cells below the visible cells. These totals will only be for the visible cells. When you clear the filter the totals now shown will be for all the data.

I hope this resolves your question. If it has, please mark this question as resolved.

If you require further assistance, please reply to this post. Or perhaps you have another Microsoft Office question?

Have a great day.

Excel tip:

Do a fast scroll

In big Excel databases with many records, you can move down thousands of rows super-fast as follows: hold down Shift then click on the scrollbar somewhere below the scrollbar handle. This will move you way down the sheet without your having to use the scrollbar up/down arrows or drag on the scrollbar handle.
