How do I reduce the size of an excell workbook with out losing data?

Have you deleted columns/rows that contain no data. Press ctrl-end on each sheet to see if you have blank rows/columns. This will highlight the last active cell on the sheet and if it is on a blank row/ cell you know you have extra rows which are still being counted, even though they are blank. If so delete them (don't just clear them). When you save, your file should be smaller.

Can the file be split into more than one linked file? Are there lots of formula columns that could be condensed into one formula column that does the same thing?

Are there embedded graphics you can lose as they may take up more space?

Colouring cells containing formulas

Cells in a worksheet can contain values or they can contain formulas. You may wish to identify all the cells in your worksheet that contain formulas by colouring those cells.

Follow these steps:
1. Choose Edit > Go To menu, or press either F5 or Ctrl+G. Excel displays the Go To dialog box.
2. Click Special. Excel displays the Go To Special dialog box.
3. Select the Formulas radio button option.
4. Select OK.

At this point, every formula cell in the worksheet is selected, and those cells can be coloured formatted as desired.
