Hi,

I want to create a column on my spreadsheet to show a date 9 months prior to an expiry date that will alert me that something is due to expire and I need to work on it.

And if possible when the date comes up an email alert or similar set up?

Thank you for your question regarding how to set up date reminders.

The first part is easy. Dates are actually numbers, so to create a formula to view a date 9 months earlier simply subtract the number of days from the cell containing the date. Assuming you have a date in cell C2 (23/02/2014) and you are going to create a formula in cell D2 which calculates a date 9 months before the date in C2 as follows:

=C2-270 Result will be 29/05/2013. You may have to format the result with a date format. If you add conditional formatting to the result column you can highlight the cell if the date is less than say tomorrow's date.

To produce reminders via email will require the use of VBA code and you are welcome to participate in our Excel VBA courses.

Fill formulae across a sheet

To copy a formula down a spreadsheet where there is data underneath, to the left or to the right of the formula, double-click on the fill handle. The fill handle is the little black cross that appears in the bottom right-hand corner of the formula cell. Unfortunately, no similar facility exists to copy formulae across the sheet.

One reasonably quick way to copy an existing formula across a sheet is to select the formula and the cells on the right to which you want to copy it. Then press Ctrl+R to copy the formula across the selected range, or, if you are menu-minded, use the Edit|Fill|Right command.
