How do I keep comments visible when printing or copying a sheet on to an email?

Hi Robin, the only way I know how to show Excel including the comment box into an email is to select Print Screen or “Ctrl C” (copies what’s showing on the screen at the time) then Ctrl + V (paste) that into your email.

Regards printing including the comment box.
Select File (top left)
then select Page Setup
then the Sheet tab
then select the Comments drop down list
choose “as displayed on sheet”
hit the ok button.

If you select Print Preview you should see the comment box on your spreadsheet. If not then Format your spreadsheet making sure your comment box is fully visible in your print preview. There are other Ctrl + keys you can use but I have mostly used the select route.

Hi Baz,

Thanks for your reply! Although the copy functions does not work and will not copy the comments.

As to printing, the comments drop down menu in the page set up => sheet tab is greyed out! I can not make a selection.

Any ideas?

Robin,
"copy functions does not work and will not copy the comments." With the comment box on Show Comment just do Ctrl + C then Ctrl + V when in your email.

"comments drop down menu in the page set up => sheet tab is greyed out!" Make sure you are in or on the actual relevant spreadsheet not in preview.

Hi, first you need to select the review tab and select "view all comments", you then need to go to your page set up page, select the "sheet" tab and in the drop down box "comments" select "as displayed on sheet".

You will be able to both print the comment and copy/paste.

Hi Paul, in 03 if I go to the review first the comments box in the Set up option is greyed out.

Going to the page set up in File it is not greyed out so I can select the "as displayed on sheet" form there.

Isn't that the correct sequence or is it different in 07 / 10?

How can I access page setup other than in the print preview? Cause there it is still greyed out I'm afraid.

Paul, your correct, it's me giving information to Robin but by all means please check up on here as to it's progress.

Robin when you are on your spreadsheet with the comment box showing look top left to File, click on that, select Page Setup & from the 4 choices in Page Setup select Sheet. In there you will see a block called "Print" beside Comment click on the small down arrow which will give you a drop down list. Choose "as displayed on sheet" & then ok.

Go to Print Preview & you should then see the comment box.

Robin just a thought does your comment box show wherever you are working on the (same) worksheet or does it dissapear leaving the little red sign in the cell where the comment box is?

Thanks, yes the comment is showing whilst working on the spreadsheet. So far so good.

However, I don't have the "file" button in the top left corner.

Robin where you have Edit, View, Insert, Format etc etc at the top of Excel itself is "File" not showing there?

An old saying comes to mind "never assume, check" as in I should have asked first off shouldn't I. Not all is lost. I have used 07 as well just need to find my bearings again on it.

Try the answer that Paul gave earlier in the post.

Hiding a worksheet in Excel

Want to circulate an Excel workbook file but keep certain worksheets hidden from your colleagues' view?

You can do so by bringing up the sheet you wish to hide on your screen; then going to Format - Sheet - Hide.

It will not be immediately obvious that a sheet is hidden from view unless perhaps the sheet are still labelled Sheet 1, Sheet 2 etc.

To display the sheet again, you can go to Format - Sheet - Unhide on any of the other sheets in the workbook. A dialogue box will appear, allowing you to select the hidden sheet/s. Click OK to make the sheet/s reappear again.
