I have 5 calendars in my outlook. 4 are for meeting rooms and 1 for reception (meeting room organizer) if I glide meetings between rooms (calendars)will it copy or move from one to another? will it send a cancellation from that room to the organiser? if invitations are sent to reception calendar and then i move them around as i please? thanks

Hi Patricia

Thank you for your question. I have tried and can't get the meeting to be re-assigned in the way you describe.

One way could be for the Reception account to be invited to all meetings and for this account to invite one of the four rooms. If a meeting had to be moved then Reception could uninvite the room that was no longer available and then invite the room that was required. This would have to be tested to see if it were more or less time consuming than the current method.

If you do go ahead with Exchange hosting room bookings you will more than likely require the Room accounts to accept requests to "attend" the meeting in question. Here is a link to a Microsoft article regarding the Auto accept feature

Whilst not an immediate answer it does suggest that to move to Exchange handling room bookings via accounts will require some server side set up to make the system work.
