Second page headers

I have a letter template which contains a different header on the first page to the second header. The headers work fine but at certain points of pressing an enter or page break in the body text area where people type, the second page header reverts to the first page header. whereas in some areas, the second page works fine. Please could you help me.

Please note, I have quite a few continuous section breaks around the document for protection so I wondered if this may be affecting the 2nd page header.

Thanks

RE: Second page headers

Hi Katie

Thank you for your question. It may indeed be the section breaks that are causing the problems. You mentioned that in some areas putting in breaks does not disrupt the flow of the headers but in others it does. Is the problem repeatable. In other words if you create two documents from the same template do page breaks in identical locations produce the same results in terms of the headers?

Kind regards,
Andrew

RE: Second page headers

Hi Andrew

I have just typed a load of text into the document so that it goes over the first page and have done the same with different text in another document from the same template and it suddenly changes back to the first page header content at the same point and then wont change back to how I set the second page header to be. Seems very strange. I have it set up so that first page is different which I assume is correct?

RE: Second page headers

Hi Katie

Thank you for your reply.

I suggest then making a new document template for testing purposes. This will then help diagnose the section breaks.

I tried to recreate the problem you are experiencing. Firstly I made a new blank document then from File > Page setup I chose Different first page from the Layout tab then clicked OK

I temporarily created a second page by choosing Insert > Break and from the View menu chose Header and Footer.
I put some text in the header on page 2.

Clicking back into the body of the document I turned on Show codes (Tools > Options > View then in the Formatting Marks group clicked in All)

I deleted the page break I had put in which brought the document back down to 1 page.

As you are using forms and protecting the document I put in two or three line breaks then inserted a continuous section break.

After the break I put in a text form field (View > Toolbars > Forms) and then after the field I put in a second continuous break.

Finally I protected the document for forms protecting all sections meaning only the form field can be edited by the user.

I found that adding sufficient text to the form field forces the creation of a second page but that page does get the correct header. Reducing the text would shorten the document back down to 1 page.

You may wish to create a simple version of your template to test the sections and see how they perform. This could help in troubleshooting the template you have been using.

Other things to check - was the template created on a different version of Word to the one you are using?
Does your copy of Office have all the latest service packs applied?

I hope this helps you track down the cause of the problem you are encountering.

Kind regards,
Andrew

RE: Second page headers

Hi Andrew

Thanks for your help. I have tried this and still the matter persists to repeat. The template was not created on a different version of word. I am a bit confused as my first page header says header 1 but my second page header says header 3 but where is header 2? I assume header two would be the one that keeps appearing when it shouldnt be?

RE: Second page headers

Hi Andrew

I have done another lot of testing and notice that where I have put continuous page breaks in the document for protection purposes, once protected and I press show and hide, one of the continuous page breaks says exactly this, whereas others say end of protected section so I think where this continuous break is, once it goes over the page it is continuing the header from the first page. Ideally I do need this page break but not sure how to get around it to solve this other problem of the headers mixing up.

RE: Second page headers

Hi Katie

I think I have found where the problem is. Test it out and see if it works for you.

Unprotect your document and turn on show codes.
Click into section 2 and force a page break (control + enter). Notice that a the header from page one appears on the new second page. Double click the header on the second page. You will find it is set to Link to Previous. Turn that off replace the header with text you would like to appear on the second page.

Remove the manual page break and repeat the process with each of the following sections.

Protect your document and create a document that spans two pages. Hopefully if text is entered into the template and it causes the page to run over to a new page, regardless of the section that spans the break Word will put the correct page two header at the top of the new sheet.

RE: Second page headers

Hi Andrew

I managed to get it working now. I had to go into each header area where the headers were changing and switch off same as previous, delete the header version and put the correct one in each area where it was playing up and fingers crossed it is all working fine now. Seems a daft way of getting around it but it works which is good!

Thank you for your time and help

Word tip:

Configure paste options in Word 2010

When you copy text and paste it into Word, the formatting is the same as where you copied the text from originally. You can change it to match the formatting of the current document but to avoid having to do this every time you paste text, follow the following steps:

1) Click the Office button
2) Then Word Options
3) Go to Advanced
4) Under the Cut, copy and paste heading, use the first four drop-down menus to choose a default setting for format pasting.
