How do I protect data sources when sending the document to external recipients?

Thank you for your question and welcome to the forum.

Are you referring to situation where you have linked to another file, e.g. data that is linked to your presentation froman Excel spreadsheet; or something else?

Thanks Amanda, basically the presentations that we put together contain many charts and tables that are linked to Data on excel spreadsheets that we do not necessarily want the recipient to be able to access. Is there a way we can lock this down at all?

Hi Nikki

If you are sending the presentation to a person who does not have access to where the Excel data is stored, they will not be able to see the actual spreadsheets from the PowerPoint presentations.

However what will happen is that when they open the file, they will be given the option of whether to update the links or not. If you want to prevent this message from coming up (as this will cause less confusion potentially for the person opening it) then you can break the links to the Excel spreadsheets before you send the presentation (but then you would need to set up the links again after sending).

To do this, go to Edit - Links in PowerPoint, select each link and click Break Link, then OK to exit the Links dialogue box.

Otherwise you might like to consider making, for example, a PDF document containing the slides.

To copy an object on your page

To copy an object on your page quickly and easily instead of using cut & paste, try this instead.

Select the object you want to copy by clicking on it.

Hold down the "CTRL" key on the keyboard.

Click (with the left mouse button) and drag the object to the new position. Simple & quick.

Now try it again but press the "Shift" key at the same time as the CTRL key, this will keep the objects aligned. Great for making diagrams etc.
