Our design documents (some of which are over 100 pages long) may have changes input at different times and for different amendments and we need to be able to specify to which amendment the revisions refer, need to make reviewing those changes in isolation easy for the recipient.

Thank you for using the forum to ask a question.

If you have changes over time with a design document you can use the Track Changes feature in Word.

Along the Ribbon at the top of the screen, select the Review tab. Under Tracking you have the option to Track Changes. Click on the Top part of the button. When this option is toggled on, any amendments are automatically highlighted in red. Deleting now strikes through text rather than removing it. To make the amendment permanent, right click on any amendment and select Accept or Reject.

You can specify the areas that require amendments using the Comments option to the left of Tracking. Select the word or area required and choose New Comment to write in a coloured balloon in the margin. You can use this feature for version control.

If you don’t want to see the annotations you can switch to a different view of the document such as Final or change it back to Final: Show Markup, Original or Original: Show Markup.

When different Users are make changes, they will appear in unique colours.

Changing line spacing in Word

To change line spacing in your document, highlight the text you wish to apply line spacing to, and go to Format-Paragraph.

Default line spacing in a document is single. In the Paragraph dialogue box, you can choose to apply 1.5, double, at least, exactly, or multiple line spacing.

- 1.5 is one and a half spaces (shorcut keys: Ctrl + 5).

- Double is two spaces (shortcut keys: Ctrl + 2).

- At least allows you to specify minimum spacing, the actual spacing may increase.

- Exactly allows you to set an exact point size for the spacing.

- Multiple allows you to increase or decrease spacing by a specified percentage (e.g. 1.25 or 125% is somewhere between single spacing and 1.5 spacing).

- Ctrl + 1 changes back to single line spacing.
