When the ambition to meet a goal requires the work of a\u00a0diverse\u00a0team,\u00a0the power to\u00a0drive efficiency, performance and productivity rests squarely on our ability to communicate.\u00a0With so much going on, how\u00a0can\u00a0we\u00a0create\u00a0an effective\u00a0strategy\u00a0to\u00a0ensure the right people are getting the right message,\u00a0at the right time?\u00a0<\/span><\/p>\n

Try these<\/b>\u00a07 starting points to help you<\/b>:<\/b>\u00a0<\/span><\/h4>\n

1.\u00a0 Meetings \u2013<\/b>\u00a0as regular as\u00a0<\/b>coffee<\/b>.<\/b>\u00a0Ensure they include clear agendas,\u00a0with plenty of scope for discussion\u00a0and questions. Every meeting,\u00a0whether a\u00a0video conference call or\u00a0a\u00a0gathering in the local office,\u00a0is\u00a0a\u00a0catalyst to\u00a0review what went well\u00a0and\u00a0where the opportunities lie.\u00a0They are also one of the surest\u00a0ways\u00a0of\u00a0gaining\u00a0unanimous\u00a0agreement and\u00a0setting lines for\u00a0further\u00a0communication<\/a>.\u00a0\u00a0<\/span><\/p>\n

2. Emails\u00a0<\/b>\u2013\u00a0<\/b>slick, fast and as collectable as\u00a0<\/b>a great\u00a0<\/b>quote.<\/b>\u00a0From a\u00a0summary of agreed points, opportunities to delegate\u00a0or\u00a0a\u00a0precise\u00a0method for\u00a0tracking objectives and targets,\u00a0the strengths of having an email network in place is immeasurable.\u00a0With the advent of group letterboxes and filing of chain letters, it is also a unique way of co-ordinating diaries and\u00a0maximising\u00a0electronic planning tools.<\/p>\n

3.\u00a0<\/strong>\u00a0<\/span>1-2-1<\/b>\u00a0<\/b>facetime<\/b>\u00a0<\/b>\u2013<\/b>\u00a0smile<\/b>,<\/b>\u00a0you\u2019re on camera.<\/b>\u00a0There is nothing\u00a0as critical\u00a0as\u00a0having\u00a0consistent\u00a0facetime\u00a0with key personnel.\u00a0Whether it is by Skype, or gathering in the most convenient corner of the\u00a0cafeteria.\u00a0This is where delegation,\u00a0review,\u00a0planning,\u00a0goal setting\u00a0and agendas\u00a0can\u00a0be agreed in a more informal setting.\u00a0\u00a0It is also a softly-softly way of checking individual \u2018temperatures\u2019 and challenging pre-conceived ideas.\u00a0<\/span><\/p>\n

4. Training schedule<\/b>\u00a0\u2013\u00a0<\/b>knowledge is power.<\/b>\u00a0Get everyone quickly on the same page by delivering\u00a0training\u00a0workshops. This is an exceptional tool to test skill and knowledge levels, embed new ideas and practices,\u00a0and to open\u00a0a\u00a0forum of contribution.\u00a0<\/span><\/p>\n

5. Encourage\u00a0<\/b>feedback<\/b><\/a>\u00a0\u2013\u00a0<\/b>it\u2019s a gift.<\/b>\u00a0The strength of offering a platform where people can freely express their views is incredibly important. This is a productive way of\u00a0measuring\u00a0if your message and vision is\u00a0being received\u00a0clear\u00a0and\u00a0concisely. Rather than ask the question,\u00a0allow people to present their views.\u00a0<\/span><\/p>\n

6. Establish\u00a0<\/b>clear<\/b>\u00a0ground rules<\/b>\u00a0\u2013 the chain of command<\/b>.<\/b>\u00a0<\/b>This is an important series of links to help relieve confusion. People\u2019s perceptions will differ; rather than having one senior figure with all the answers, the delegation of key positions can help enormously to bring people of all levels forward\u00a0and asking the right questions within their parameters of work.\u00a0<\/span><\/p>\n

7. Suggestion box<\/b>\u00a0\u2013 anony<\/b>mity<\/b>\u00a0<\/b>is safe.<\/b>\u00a0This allows a\u00a0platform for those who fear being singled out. Self-esteem can be a tricky thing, especially when presented in front of others. Not all those in attendance will want to raise their hand,\u00a0preferring to suffer quietly under the burden of ignorance.\u00a0Give them an option.\u00a0<\/span><\/p>\n

\u2018<\/b>Because<\/b>\u2019<\/b>\u00a0\u2013 a\u00a0<\/b>million-dollar<\/b>\u00a0word<\/b>\u00a0<\/span><\/h4>\n

Ultimately,\u00a0the reason most\u00a0communications fail to gather momentum\u00a0is the lack of understanding. As managers,\u00a0our most potent strength in presenting new ideas is\u00a0to\u00a0use\u00a0the word \u2018because\u2019. There is simply no substitute for giving people a solid reason for\u00a0why<\/i>\u00a0they are doing something.\u00a0The difference that one small word can make can\u00a0be the difference between\u00a0a\u00a0successful plan\u00a0or\u00a0a failed one.\u00a0<\/span><\/p>\n
